Executive Assistant to the CEO

Position Overview: The Executive Assistant to the CEO will play a pivotal role in managing the day-to-day operations, allowing the CEO to focus on strategic initiatives. This role demands a proactive, organized, and detail-oriented professional with exceptional communication skills.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and handling correspondence.
  • Financial Administration: Manage expense reports, cash flow projections and budgets.
  • Meeting Coordination: Organize and coordinate executive meetings, prepare agendas, materials, take and distribute minutes, and ensure follow-up on action items.
  • Travel Management: Arrange and manage travel itineraries, accommodations, and logistics for domestic and international trips.
  • Project Management: Assist in the planning and execution of special projects and initiatives, ensuring timely completion and adherence to goals.
  • Communication: Serve as the primary point of contact between the CEO and internal/external stakeholders, ensuring clear and efficient communication. Screen and manage phone calls.
  • Relationship Management: Build and maintain relationships with internal and external stakeholders. Organize corporate events and functions.
  • Manage Social Media: Post ads. Find and manage freelancers and budgets for tasks such as social media copywriting, etc., on platforms such as Fiverr and Freelancer.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain the highest level of confidentiality. Ensure data privacy and security in all communications and documentation.
  • Office Management: Oversee office operations, including supplies, equipment, and facilities management. Handle hiring and initial interview screening.
  • Research and Reporting: Conduct research, prepare reports, and provide insights to support the CEO’s decision-making process.

Qualifications:

  • Education: Minimum High School education. Ideally degree in Business Administration, Communications, or a related field.
  • Experience: Minimum of 2 years of experience as an Executive Assistant or in a similar role supporting senior executives.
  • Skills:
  • Exceptional organizational and multitasking abilities.
  • Superior English written and verbal communication skills. French is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and under pressure.
  • High level of professionalism and attention to detail.
